Ramadan 2025: A Planning Checklist for Administration

Ramadan preparation requires careful planning months in advance. The holy month brings dramatically increased attendance, complex logistics, and high expectations.

1. 60 Days Before Ramadan

Start volunteer recruitment early. You'll need help for everything from parking to iftar service.

Review last year's lessons learned. What went well? What were the pain points? Survey regular attendees for suggestions.

2. 45 Days Before Ramadan

Finalize your prayer schedule including Taraweeh times and Qaris.

Many families plan vacation time around Taraweeh. Publish your schedule at least 45 days out—earlier if possible. Late announcements frustrate your most dedicated members.

Begin promoting fundraising goals. Ramadan typically generates 30-40% of annual donations.

3. 30 Days Before Ramadan

Confirm all logistics: catering for iftars, cleaning services, security personnel, and overflow accommodations.

Prepare your communication plan. How will you send Ramadan Mubarak messages, prayer time reminders, and event updates?

4. 14 Days Before Ramadan

Conduct a facilities walk-through. Check all systems: HVAC, sound, lighting, restrooms.

Address maintenance issues now—you won't have time during Ramadan. A broken AC during Taraweeh is a crisis. A broken AC two weeks before is a work order.

Train all volunteers with orientation sessions covering their responsibilities.

5. 7 Days Before Ramadan

Send final communications with all schedule information. Post signage for parking, prayer areas, and accommodations.

Hold a staff meeting to review all plans. Everyone should know their role and who to escalate issues to.

6. During Ramadan

Monitor and adjust daily. Hold brief 10-minute check-ins with key volunteers each morning.

7. After Eid

Conduct a thorough debrief while memories are fresh. Survey the community. Document lessons learned for next year.

The debrief you skip this year becomes the crisis you face next year. Schedule it before Eid even arrives.
